Firelight Media was founded by the winner of the 2016 Lifetime Emmy Award in News and Documentary, Stanley Nelson, along with Marcia Smith. Firelight is best known for producing high-quality powerful productions for PBS. From award-winning films like Black Panthers: Vanguard of the Revolution, Freedom Riders, The Murder of Emmett Till and Jonestown, Firelight is engaged in telling stories about pivotal events, movements, and people in American history. Through our films, community engagement campaigns, and our flagship mentoring program, the Documentary Lab, Firelight is dedicated to harnessing the power of story-driven media as a tool for education and action. FULL-TIME OFFICE MANAGER

Job Summary:
Firelight Media’s Office Manager is responsible for managing the day-to-day operations of the organization. The Office Manager is a key position promoting staff and office cohesion. The ideal candidate must be able to work closely with all staff to promote an open, inclusive environment that emphasizes cooperation and teamwork. They should be energetic and eager to discover and invent solutions to substantive, administrative and operational challenges. They should possess strong communication skills and good judgment, as well as a sense of humor and thrive in a small but growing organization. Personal alignment with the mission and goals of the organization is essential.

Specific responsibilities include but are not limited to the following:
● Coordinate overall office management including the purchase and maintenance of inventory for office supplies, equipment and furniture, etc.
● Schedule and organize logistics for meetings, travel, and conferences
● Address IT issues when possible, and interface with IT consultant
● Assist in preparing materials, reports, and minutes for staff and Board meetings and other presentations
● Serve as coordinator for staff benefit programs, and manage relationships with vendors, brokers, and government agencies as appropriate
● Serve as primary human resource contact for small but growing staff, ensuring that policies and procedures are clear, understood and followed by staff and consultants
● Work independently and within a team on special and ongoing projects
● Secure vendors and consultants to maximize cost effectiveness and quality services
● Maintain personnel, vendor, and other organizational files

Qualifications:
● Bachelor’s Degree and 3+ years administrative experience required
● Excellent working knowledge of Microsoft Word, Excel, Powerpoint, and Google
● Excellent oral and written communication skills
● Highly organized, efficient, strong attention to detail
● Ability to multi-task, take initiative and work under short deadlines
● Even temperament and sense of humor
● Prior work in the arts, social justice, or other not-for-profit organizations
● Prior experience with IT, database software, Internet conferencing platforms a plus

FULL-TIME EXECUTIVE ASSISTANT

Job Summary:

Firelight Media’s Executive Assistant will provide executive-level support to the Executive Staff at Firelight Media. The ideal candidate will be: well-organized, efficient, flexible, self-motivated, proactive, and a good/concise communicator. They should possess good judgment as well as a sense of humor and thrive in a small but growing organization. Specific responsibilities include but are not limited to the following:

● managing supervisors’ calendars, including planning and organizing meetings
● briefing supervisors on upcoming events and related deliverables
● organizing travel and preparing complex travel itineraries
● answering calls and liaising with vendors competently
● reading, monitoring and responding to email and regular mail
● preparing papers for meetings and writing minutes in meetings
● attending meetings on supervisors’ behalf
● planning, organizing and managing events
● managing and maintaining filing and office systems
● drafting communications on supervisors’ behalf
● delegating work in supervisor’s absence
● typing documents
● filing personal and work documents
● organizing receipts for expenses
● occasionally running errands

Qualifications:
